Facilities management and business support service provider for the University of Manchester implements the very flexible hosted room & resource scheduling solution to aid with business growth and development

NFS Hospitality is proud to announce the recent implementation of Rendezvous, the powerful Scheduling and Event Management solution, at University of Manchester Incubator Company Ltd (UMIC).

UMIC is the facilities management and business support service provider for the University of Manchester, providing state-of-the-art facilities and top quality business support services for start-up and early-stage companies. These services include high-quality conference and event facilities in the Core Technology Facility (CTF), located in the heart of Manchester’s vibrant academic and business community. The CTF offers twelve event spaces with capacities ranging from 2 – 130 people.

Event Sales & Conferencing Manager, Jacqui Waby, joined the UMIC team in June 2009 with a remit to develop and enhance the event services on offer. Initially, there was no requirement for any specialist software packages, but as the business began to grow and develop, it became apparent to Jacqui that there was a need for a complete booking system capable of handling their entire workflow and diary management.

“I knew I wanted all the functionality without the headaches and heavy investment in IT hardware,” Jacqui comments. “Having worked in the events industry for over a decade, I have experience of using a variety of different systems but have found that the flexibility and functionality of Rendezvous, and the superb customer support offered by NFS Hospitality, cannot be matched elsewhere.”

This is the fourth hosted Rendezvous installation that Jacqui has been involved with in recent years and she recommends the system wholeheartedly. “It is a superb solution for our needs at the CTF,” she explains. “I know that the system is secure and up to date. Best of all, if there is a problem, I know that NFS’ support team can view my system remotely and we can talk through any issues and resolve them. This saves an enormous amount of time.”

The Rendezvous solution went live at the beginning of 2010, and replaces a simple, bespoke intranet-based room allocation system. According to Jacqui, the main benefits of the software in relation to UMIC’s needs are its diary management, CRM and sales & forecasting tools, and the various sales, operational and financial reports it offers. “I also particularly like the NFS hosted option as it means no investment in hardware or IT infrastructure,” she says. “It’s very economical.”

Implementation of Rendezvous will allow UMIC to enjoy a streamlined booking and coordination process. “This will improve information flow between service providers and clients, giving clients increased confidence in the professionalism and service of the venue team, and helping to ensure client satisfaction,” Jacqui notes, adding that the resulting reduction in time spent on manual administration enables her to place focus on proactive sales activities.
