World-renowned legal firm Bryan Cave Leighton Paisner is purposely structured as a single, fully integrated team, with 25 offices internationally.
Its clients are companies including 40% of the Fortune 500, who rely on BCLP to protect their interests.
BCLP – an NFS Technology client in the USA for several years – approached NFS in 2019 to deploy Rendezvous Workspace workplace management software in its UK offices in London and Manchester.
The challenge
BCLP were unhappy with the level of support being provided by their current UK supplier and unconvinced by the functionality of their product.
The company also wanted all its offices worldwide to have easy visibility of all meeting rooms across the whole estate.
The international Rendezvous solution
After a rigorous evaluation process, BCLP chose NFS and began to roll Rendezvous Workspace out in 2020 in London and Manchester. At the same time, they moved from Rendezvous Events to Workspace for the US and Paris.
The firm also deployed Workspace in Hong Kong and Singapore and smaller satellite offices worldwide. These offices previously used a different systems including paper diaries and Microsoft Exchange, which made co-ordination tricky.
BCLP creates a great hybrid working environment
BCLP moved the London office and equipped it with room panels for meeting rooms and smaller panels for flexible meeting areas.
They deployed solutions in the UK for hot desking and Rendezvous’ reverse hoteling feature, which makes allocated desks available when people are on holiday, maximising utilisation.
The firm’s business services areas – IT, HR and accounting – have an unallocated seating policy, which required a check in and out process as well as desk booking. The Rendezvous mobile booking app was the answer. Staff can now book space in advance and check in and out using the QR codes the system sends them.
Meeting rooms and flexible meeting space have been equipped with smaller digital panels where people can book a meeting at short notice using their security cards in the flexible area.
Back to the office post-Covid
The check in/out process became more important during the crisis as BCLP needed to collect data for track and trace. As the return to the offices gains pace and demand for desks has risen, the need for workers to pre-book is essential. It makes sure staff can visit the office safely and with all confidence.
Future plans
BCLP have now successfully used Rendezvous room and desk booking for two years, and have discovered all the benefits it provides for hybrid and flexible working, where productivity, collaboration and wellbeing are priorities.
The company are now deploying sensor technology in London and Manchester, which will allow them to track space utilisation in real-time in meeting rooms and at hot desks. The system provides detailed data that will support future space planning.
