Rendezvous is able to do all of this because of it captures comprehensive client information and stores it in the database until it is required. For example: source of business, multiple contacts per client, special interests for contacts and other relevant information that can be captured using the custom fields available.
A complete list of bookings is also captured and stored within the database including provisional and cancelled bookings. This is an important feature that can be used as a tool for sales and marketing.
Potential contacts/clients can be stored in the Prospective Client Database. This is separate from the Active Client Database and is a very useful sales tool. Clients can be transferred from the Prospective database to the active client list in a simple one step process, by clicking on the ‘Transfer Client’ button and all data collected is maintained.
Another tool within Rendezvous is the Client Contact Registry (CC Reg.). This logs all communications between clients and venue staff as well as the actions associated with the communication. This makes it easy to manage client relations.
To ensure a high level of service to customers, staff can use automated activities (Autotraces). The system automatically generates activities such as: deposit request, deposit due, enquiry follow up, mail shot follow up and the release of booking an option.
