Rendezvous is a fully browser based conference, catering and meeting room booking system with a complete set of features, that can be implemented and supported in the most cost effective manner.

Flexible

Rendezvous is designed to integrate well in any environment, either as a stand-alone solution for the single user, or as the central management system within a corporate network supporting several

thousand users. This flexibility is possible because Rendezvous is based upon a central server and the latest web technologies. At the higher end of the spectrum is Rendezvous Central, which provides a single server solution for multi-property management.
 
Technology

Rendezvous has been developed using technology with the capability to fundamentally change the booking process for meeting rooms, catering, services and IT equipment. As a browser based application with full integration to desktop suites such as Microsoft Outlook, Rendezvous opens up limitless possibilities to search for room availability. IT implementation and support costs are also drastically reduced. As a browser based application, client installation on each user machine is no longer required, dramatically cutting IT support costs.

Rendezvous is an advanced software package designed to make booking meetings as efficient and simple as possible. Great care has been taken to provide customers with the ability to manage meetings rooms, resources, sales and marketing, clients and contacts. The traditional booking process has been redefined by Rendezvous cutting edge browser technology, which allows access to important resources from anywhere in the world.

Meeting room availability, contact information and financial information can be accessed even when staff are on the road.

The Diary

Rendezvous daily, weekly and monthly diaries provide a visual room availability display that allows users to manage their rooms efficiently. Current bookings, and all of the important information that they hold can be directly accessed and amended from the diaries with a single click. Bookings can be made directly form the diary whether they are for enquiries, waitlists, and provisional or confirmed. Daily, weekly and monthly diaries offer significant functionality for the management of bookings.

Sales & Marketing

Rendezvous maximizes sales and operational effectiveness at all levels. Business processes can be streamlined by connectivity to the property websites for on-line enquiries, availability, quotations, request for proposals and fully automated confirmations. Rendezvous technical architecture delivers performance not available with today’s generation of venue management systems, offering many opportunities to improve customer service.

As a sales tool, Rendezvous provides a host of facilities for both single and multi-venue sales management:  
  • Managing priorities – automatic reminders track outstanding activities and prompt the user at login
  • Managing customer relations – all customer information, contact details, buyer preferences and historical bookings information is right at your fingertips
  • Managing opportunities – quantify new business opportunities, track recurring business and manage leads and yields across all properties
  • Enhancing customer service – ASP architecture facilitates connecting the client, the sales team, the agent and the sales office into a seamless community for the rapid exchange of information.
Self-Service Interface (EUI) for the Occasional User

The EUI for occasional users is a self service web/intranet solution allowing customers and FM staff to book meeting rooms, hot desks, catering, and other facilities such as AV, porter services, taxi and car parking spaces. The EUI offers easy integration with corporate Intranets and Venue websites.

The solution provides an easy to follow predefined flow for making a booking. Authorized Users can create/amend and cancel bookings 24 hours a day.

Rendezvous Reporting

Rendezvous is a browser-based application using an industry standard MSSQL database, which provides a great deal of freedom and flexibility in report writing. The application uses Crystal Reports (Developer and Enterprise editions), a market leader in report writing.
Rendezvous is equipped with an extensive standard report set, which can be customized, enabling reports to be created for any output required. In addition to standard reports custom, reports can also be created using Report Manager. NFS provide report editing service as well as training to client staff report writing.

Rendezvous Mobile

With technology moving at a rapid rate Rendezvous’ has a mobile solution to keep pace with technology trends and offer users the tools to stay competitive. The mobile interface uses Windows Mobile and GPRS technology consistent with industry standard wireless technology.
