Wedlake Bell Adopts Outlook Based Room Scheduling Software
Are you using Outlook to schedule meetings? If not, why not?
Many corporate and legal firms are now benefiting from the functionality within Rendezvous Workspace to book meetings and resources directly from the familiar Outlook application. One such company is Wedlake Bell LLP, a leading London law firm that provides a full service to corporate and private clients in the UK and internationally.
It was for some time that Linda Webster, Head of IT at Wedlake Bell, had been looking to find a cost-effective room booking solution to improve the booking of the company’s ten meeting rooms at their offices in Holborn, London.
One of her key considerations was simplicity for the user community, without going down the road of a free-for-all in terms of booking rooms and resources. The solution selected was Rendezvous Workspace, our Outlook-based room and resource scheduling solution released in 2009.
Linda was one of the early adopters of the Rendezvous Workspace solution, having agreed to participate in the beta test programme. This provided the opportunity for her to influence the workflow of the solution – particularly the Outlook scheduling experience – and NFS were able to take on board valuable customer feedback at an early stage in the release programme.
“The ability for our staff to make a room availability enquiry from within Outlook and to also request or book a meeting room and resources simply and efficiently will help with providing a better service to our team and also reduce the workload on reception,” comments Linda. “We have been working with the NFS Development team to simplify/improve the booking process for the Outlook user and we are now looking forward to releasing Workspace to our Private Client team, as they make a considerable number of room bookings, many involving catering and other resources.“

The Carbon Trust Standard – Awarding CO2 Reduction
Launched in June 2008, the aim of the the Carbon Trust Standard (CTS) is to demonstrate ongoing CO2 reduction Year on Year.
What is the Carbon Trust Standard?
The Carbon Trust Standard is a certification scheme which offers UK organisations the opportunity to prove they are committed to reducing their carbon footprint. The certificate is awarded for measuring, managing and genuinely reducing carbon emissions, and for committing to do so every year. To date, 340 organisations have achieved certification, showing an average 3.5% annual reduction in carbon emissions – or a £72 million cost saving. The Carbon Trust Standard is also a recognised early-action metric under the CRC Energy Efficiency Scheme.
What is the CRC Energy Efficiency Scheme (CRC)?
The CRC Energy Efficiency Scheme is the UK’s mandatory climate change and energy saving scheme, started in April
2010 and administered by the Environment Agency. It is central to the UK’s strategy for improving energy efficiency and reducing CO2 emissions, as set out in the Climate Change Act 2008, and has been designed to raise awareness in large organisations, especially at senior level, and encourage changes in behaviour and infrastructure.
What is the impact of not achieving the Carbon Trust Standard?
By 2011, all UK organisations will require a current CTS certificate if they wish to improve their lead ranking and recycling costs. Certificates last two years, so achieving the CTS now should bring additional benefits in 2012 – 2013.
What are the benefits?
There are several advantages for organisations who achieve the Standard, including:
- It’s good for the Corporate reputation
- Companies are able to produce their credentials based on these results
- It provides motivation for ongoing reduction
- Managers can focus their attention on the quality of their data
- It provides technical and PR support
- Offers the ability to build ‘carbon’ networks
- There is a direct impact on your bottom line
What are the rules?
- Qualitative questions to assess governance, carbon accounting and carbon management
- All questions should be supported by hard evidence
- Pass mark is 60% (48/80)
Preparation & Tips
Ed Gray, Energy Manager for Hilton’s European Engineering Operations, played a big part in helping Hilton Europe achieve certification.
“We wanted to be the first hospitality company in Europe to bear the Standard,” he comments. “We knew it was coming. You have to prepare for carbon reduction and CTS is one way to work towards this. Certification helps us with customer engagement and PR; the whole company can associate with it, even if not completely aware of efforts behind the scenes.“
Given Gray’s experience of working towards certification, he offers a few preparation tips:
- Know your data, i.e. annual totals for all fuel sources
- Know your owned from your leased, your managed from your franchised
- AMR data is good but you will need invoices to prove it
- Remember that your assigned CTS assessor is on your side – meet them early on in the process, and often
- Appreciate that it takes time
